Dunton Environmental collects and processes personal data relating to its clients and suppliers to manage the business relationship also to its applicants to manage the application process. Dunton Environmental is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.
What information does the organisation collect?
- Dunton Environmental may collect your name, company email address, company address, telephone number.
- Your CV detailing information you may provide such as your name, address and contact details, including email address and telephone number, national insurance number, date of birth and gender.
- details of your current employment schedule (days of work and working hours) if applicable;
- Pre interview questionnaires and DISC assessments.
- details of your qualifications, skills, experience and employment history, including start and end dates, with previous employers and organisations;
- details of periods of leave either taken or planned to be taken by you if you are currently in employment, including holiday or sickness absence;
- If successful in your application, your contract including the terms and conditions of your employment;
- information about your nationality and entitlement to work in the UK;
- information about medical or health conditions, including whether you have a disability for which the organisation needs to make reasonable adjustments.
- Dunton Environmental also collect CCTV on visitors to site or head office and recordings of calls made to head office over the telephone.
- Data will be stored in project files, with finance and with Sales and Marketing and in other IT systems (including the organisation’s email system).
The organisation may collect this information in a variety of ways. For example, data might be collected through application forms, CVs or resumes; from correspondence with you; or through interviews, meetings or other assessments. Applicants are entirely free to decide whether to provide such data and there are no consequences for failing to do so.
In some cases, Dunton Environmental may collect personal data about you from third parties, such as references supplied by former employers, including any information permitted by law.
Your data will be digitally stored in our internal HR drive software, and in other IT systems such as the organisation’s email system.
Why does the organisation process personal data?
Under the terms of data protection legislation, there are six grounds which justify data processing, namely
- consent of the data subject
- performance of a contract
- compliance with a legal obligation imposed on us
- vital interests of the data subject
- legitimate interests of the data controller or another person
- public interest
Dunton Environmental will need to process further data if your application is successful and we decide to enter into an employment contract with you to meet certain contractual obligations.
In some cases, Dunton Environmental needs to process data to ensure that it is complying with its legal obligations. For example, it is required to check an employee’s entitlement to work in the UK or to comply with health and safety laws.
In other cases, Dunton Environmental has a legitimate interest in processing personal data before, during and after the end of the application process. Processing data allows Dunton Environmental to:
- run the recruitment process;
- maintain accurate and up-to-date employment records and contact details;
- obtain occupational health advice, to ensure that it complies with duties in relation to individuals with disabilities, and meet its obligations under health and safety law;
- ensure effective general HR and business administration;
- receive references on request from current or former employers;
- respond to and defend against legal claims.
Who has access to data?
Your information may be shared internally with HR, Health and Safety, your recruiting line manager or other such relevant managers in the business, and IT staff if access to the data is necessary for performance of their roles. We may communicate externally with recruitment agencies if relevant to the application process.
Dunton Environmental will not transfer your data to countries outside the European Economic Area.
How does the organisation protect data?
Dunton Environmental takes the security of your data seriously. There are internal policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by its employees in the performance of their duties.
Where Dunton Environmental engages third parties to process personal data on its behalf, they do so on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.
For how long does the organisation keep data?
Data for marketing use will be kept for the duration of the relationship. CCTV and telephone recordings will be kept no more than 30 days. Project files will be kept for no longer than seven years to ensure contractual compliance and reference and in instances of warranties for project liability 10 years.
For unsuccessful candidates we will store a copy of your CV for 6 months to a year. Should we wish to keep your CV on file after this period, we will inform you of our proceedings, its duration, and our purposes for so doing.
For successful candidates, your personnel file will be kept active during the course of your employment.
Your rights
As a data subject, you have several rights. You can:
- access and obtain a copy of your data on request;
- require the organisation to change incorrect or incomplete data;
- require the organisation to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; and
- object to the processing of your data where the organisation is relying on its legitimate interests as the legal ground for processing.

If you believe that Dunton Environmental has not complied with your data protection rights, you can complain to the Information Commissioner.
What if you do not provide personal data?
Certain information, such as contact details, must be provided to enable Dunton Environmental to enter a contract of employment with you. If you do not provide other information, this will hinder the organisation’s ability to administer the rights and obligations arising.

Decisions regarding applicants are not based solely on automated decision-making.

Analytics
Dunton Environmental website also uses Google Analytics to help analyse how our visitors use the site. The tool uses cookies to store information, such as what time the current visit occurred, whether the visitor has been to the site before, and what site referred the visitor to the web page. A different cookie is used for each website, and visitors are not tracked across multiple sites. The information generated by the cookie about your use of the website (including IP address) is transmitted to Google. This information may then be used to evaluate visitors’ use of the website and to compile statistical reports on website activity for us. To disable this type of cookie, some browsers will indicate when a cookie is being sent and allow you to decline cookies on a case-by-case basis. In addition to declining cookies, you can also install the Google Analytics Opt-out Add-on in your browser, which prevents Google Analytics from collecting information about your website visits.
We will never (and will not allow any third party to) use the statistical analytics tool to track or to collect any Personally Identifiable Information (PII) of visitors to our site. Google will not associate your IP address with any other data held by Google. Neither we nor Google will link, or seek to link, an IP address with the identity of a computer user. We will not associate any data gathered from this site with any Personally Identifiable Information from any source, unless you explicitly submit that information via a fill-in form on our website.
